Configure call forwarding
To get started you will have to enable conditional call forwarding on your business’s number. Typically you should forward when not-answered, busy or on another line.
The call forwarding must be done to your virtual receptionist’s number on your Foore dashboard.
Once you are done with call forwarding, move to configuring your virtual receptionist’s behaviour.
Configure call handling
Let’s start with configuring how virtual receptionist receives a call that you were unable to handle otherwise.
You can choose to play a text or play an audio. It is strongly recommended that you record and play an audio with personalized message for your customers.
To quickly test out configurations, we will go with playing text for now.
Configure call recording
Next, let’s configure your virtual receptionist to allow recording voice messages from customers.
You just need to need to set this to ‘On’ from the call recording setting.
Note: It’s strongly recommended that you let your customers know that the call is being recorded, if you are using this feature.
Configure after-call SMS
On receiving a call, virtual receptionist can send an SMS to the caller. SMS can have further information about your business as well as can provide ways to book an appointment with you.
A good example of SMS to be sent is –
We are unable to take your call right now. You can leave a message by responding to this SMS or Connect with us on Facebook to book appointments and get queries answered instantly.
Configure ignored contacts
You may want to whitelist numbers of your team, friends and family so that they do not end up receiving SMS if they call. You can whitelist such numbers in ignored contacts.
Tracking and viewing incoming calls
The calls received by virtual receptionist can be viewed in conversations along with full context information of the caller.
You can send further message and listen to recording from the calls.
